OKAY is a Czech retailer of electrical equipment and furniture. In addition to about 140 brick-and-mortar stores, it also operates an e-shop with an extensive assortment, which we help to serve efficiently. We have simplified and automated the management of product information thanks to the Pimcore platform.

The next task was to ensure data consistency and speed up data export to Shopify Premium. We also chose the Pimcore platform because it allows us to efficiently merge data from different sources into one place and then work with it centrally. This way, the client can be sure they are looking at the most up-to-date data. But let's take it one step at a time.

Many sources of data - the death of a trader

OKAY Elektro faced the challenge of efficiently managing its extensive range of electronics and appliances in an e-shop built on the Shopify Premium platform. Product data was highly fragmented: stored in many places, in different formats and systems, leading to inconsistencies and errors on the e-shop website. Frequent manual interventions were required. The client needed a centralized system to manage this product data to eliminate these problems.

Why Pimcore?

We chose Pimcore as our central solution for product information management (PIM). Pimcore provides robust tools for organizing, managing and distributing product data. Integrating Pimcore with an e-commerce store built on Shopify Premium and with other systems such as ICECAT (open source database of product information for consumer electronics), SAP, or DeepL for fast and accurate translations of product text and data into multiple languages.

Step-by-step for a more convenient e-shop experience

Data centralization in Pimcore

Much of the product information, including parameters, texts, descriptions, images, data files (manuals, labels), specifications, has been imported into Pimcore. This allowed for uniform data management regardless of where it was originally managed. Everyone only works with Pimcore and can have peaceful mind because they are looking at the current data and there won't be a situation where a newer version exists in a different location (such as inventory or product images).

Data mapping and syncing with Shopify

We've created a robust data mapping between Pimcore and Shopify to ensure that any changes made in Pimcore are immediately reflected in the store. The system is able to handle partial data updates, therefore saving both data flow and time to process updates.

Workflow for data approvals

We implemented a series of approval processes in Pimcore, which helped to ensure that all product changes went through the appropriate approval cycle before being posted to the e-store, eliminating the potential for human error.

Updates automatization

We've deployed automated processes to regularly update data between Pimcore and Shopify without the need to manually trigger communication, making the entire data exchange process more efficient and faster.
